Availability Controls (AVC)

As the research activities are taking place, transactions are posted to a grant in a variety of ways such as shopping carts from Shop OnLion, labor distributions, travel, direct bills, and journal entries.

Knowing when budgeted funds are getting low is important in managing a grant. In addition to the variety of reports available for grant monitoring, Availability Controls (AVC) is a tool in SIMBA that warns when budgets are getting low as a transaction is being performed. This means the person initiating the transaction will see a warning in real-time. AVC checking is done at the Grant level and on external funds only. Revenue and cost share are not checked. Direct Bills, Payroll, Burdening, and Concur will not be checked.

For example, when goods or services are purchased in Shop OnLion they are posted to the Internal Order under the grant. Warnings are displayed on the screen if the budget has reached 85% consumption and 100% consumption.

NOTE: GM AVC cannot be turned off for individual grants, and warnings do not prevent postings in SIMBA.
